How do I make sure a task does not slip?
A normal reminder comes once and easily gets lost among other notifications. For things like “give the dog its medicine” or “pick up from daycare” there is the important task per task, with three levels you can combine freely. And if someone did the task but forgot to tick it off, an admin marks it as done for that person.
Part 1
Mark a task as important
The setting belongs to the task template and applies to all future dates. Ad-hoc tasks can have it too.
- Open the task
Manage → Task templates → tap the task, e.g. “give the dog its medicine”.
- Switch on “Important task”
Switch on Important task. Below it the three levels from part 2 appear – each can be chosen individually.
- Save
Save. Already planned, untouched dates take over the setting.
For time-sensitive notifications and pinning to work, Settings › Notifications › collabDoo on the iPhone must have Time Sensitive Notifications and Live Activities switched on. The app asks the first time.

The three levels – individually or together
How persistent the reminders are is up to you per task. Members’ quiet hours and notification preferences still apply.

The Live Activity appears on the devices whose active profile is responsible. If all recipients are in quiet hours, it comes later. From iOS 17.2.
Part 3
Buttons right in the notification – even without “important”
Every task reminder can be answered from the lock screen without opening the app. This applies to all tasks, not just important ones – and on the Apple Watch as well.
- Press and hold the notification
The buttons appear below the reminder.
- “Done”
Done ticks the task off immediately – if it requires no proof. If it requires a checklist, photo, signature or reading, the notification only shows the later buttons; a tap on it opens the guided flow.
- “Remind in 15 min” or “Remind in 1 h”
Remind in 15 min / Remind in 1 h postpone the reminder and pause the nagging for that time.
A new reminder for the same task replaces the previous one. So five notifications for “give the dog its medicine” never pile up – there is only ever the current one.
Part 4
Mark as done for someone
Mum looked after the dog but did not tick it off – and the task stays open or even keeps nagging. An admin can record it as done for mum with one tap: the points go to her, the history shows who recorded it.
- Open the task
Tap the task in Today or the overview, then … at the top right.
- “Mark as done for someone”
Choose Mark as done for someone. For whom? appears with large profile pictures.
- Tap the head
One tap on the picture ticks the task off immediately for that person. If the task requires proof (checklist, photo, signature, reading), the same tap opens the guided flow – the note in the sheet says so beforehand.
Adults with the owner or admin role. The points go to the chosen person, you recorded it – both appear in the history (“done by Anna for mum”). For four-eyes tasks the usual confirmation follows.
